ACXPA Events Terms and Conditions
Last updated: October 2026
These terms apply when you register for, book tickets to or attend an event run by ACXPA (ABN 58 817 433 774) (ACXPA, we, us, our). They cover online and in-person events, paid and free (Event).
You agree to them when you register or book, including on behalf of your organisation. The person or organisation that books (you) must make sure everyone attending under the booking follows them.
Our Website Terms of Use and Privacy Policy also apply. CX Skills training courses have their own terms.
1. Tickets and payment
1.1 Ticket prices are in Australian dollars and shown excluding GST. GST at 10% is added when your billing country is Australia. If you’re billed outside Australia, you’re responsible for any taxes that apply in your country.
1.2 You can pay in full by card when you book, or ask us for an invoice. Invoices are payable within 14 days, and always before the Event starts. Entry isn’t available until we’ve received payment.
1.3 Your booking is confirmed when we email you a booking confirmation.
1.4 Member pricing, such as 50% off ACXPA events, needs an active, activated ACXPA membership when you book. Discounts can’t be combined unless we say so.
1.5 For free Events, we may limit numbers and release places that aren’t taken up.
2. Sending someone else, or cancelling
2.1 Can’t make it? You can send someone in your place at no cost. Email events@acxpa.com.au with their name and email address before the Event starts. These terms then apply to them.
2.2 To cancel, email events@acxpa.com.au. Your cancellation takes effect on the day we receive it, and your refund depends on how many calendar days before the Event starts that is:
| When we receive your cancellation | Refund of the ticket price |
|---|---|
| More than 28 days before | 100% |
| 14 to 28 days before | 75% |
| 3 to 13 days before | 50% |
| Less than 3 days before | None, but you can still send someone in your place |
2.3 If we’ve already sent you printed materials for the Event, we may deduct what they cost us. Refunds go back to the payment method you used, usually within 14 days.
3. Changes and cancellations by us
3.1 We may change the program, speakers, venue or format where we reasonably need to, for example moving an in-person Event online. If a change is significant, we’ll tell you as soon as we can, and you may cancel for a full refund.
3.2 We may cancel an Event if a presenter is unavailable, there aren’t enough registrations, or for reasons outside our control. If we do, you can choose either:
- a full refund, which we aim to pay within 7 days; or
- a credit for the full amount towards another ACXPA event within 12 months of the credit being issued.
3.3 If we postpone an Event, your booking moves to the new date. If the new date is more than 3 months after the original date, you may cancel for a full refund.
3.4 Except as the law requires, our liability for cancelling, changing or postponing an Event is limited to the price you paid for it.
4. Online Events
4.1 We’ll send you the joining details before the Event. They’re for registered attendees only, so please don’t share them.
4.2 You’re responsible for your own device, software and internet connection.
4.3 If a problem on our side stops an online Event running properly, we’ll reschedule the affected part or give you access to a recording. If neither suits you, we’ll refund the affected part.
5. Recordings, photos and what you contribute
5.1 We may photograph, film or record Events, including online sessions, chat and Q&A. We may share these with attendees and members, use them in our AI tools (such as the Roundtable AI Assistant), and use them to promote future Events.
5.2 If you’d rather not appear, tell us at events@acxpa.com.au or tell a staff member at the venue. At online Events you can also keep your camera and microphone off, or send your question to us beforehand.
5.3 You may not record, photograph or livestream an Event without our consent.
5.4 We may ask you for a testimonial. You don’t have to give one.
6. Behaviour and safety
6.1 Treat other attendees, speakers and staff with respect. Harassment and discrimination aren’t tolerated, and you may not sell or recruit at an Event unless we’ve agreed. At in-person Events, follow the venue’s rules and any safety directions.
6.2 We may remove anyone who breaks clause 6.1 or puts others at risk, without a refund.
7. Event materials
7.1 Slides, notes, recordings and other Event materials belong to us or our speakers. You may use them in your own work and for your organisation’s internal purposes, but you may not republish, share publicly or sell them.
7.2 Speakers’ views are their own. Event content is general information, not legal, HR, financial or other professional advice.
8. Accessibility and special requirements
8.1 If you need adjustments to take part, such as accessibility, dietary or other requirements, email events@acxpa.com.au at least 14 days before the Event. We’ll do our best to help.
9. Liability
9.1 Nothing in these terms excludes, restricts or modifies any right or remedy you have under the Australian Consumer Law or any other law that can’t be excluded.
9.2 To the extent the law allows, we aren’t liable for any indirect or consequential loss, and our total liability for an Event is limited to the price you paid for it. This doesn’t limit liability for death or personal injury caused by our negligence.
10. Privacy
10.1 We handle your registration details in line with our Privacy Policy. We share attendee details with venues and event platforms only as needed to run the Event, and we don’t give attendee contact details to sponsors or vendors without your consent.
11. General
11.1 We may update these terms. The version published when you book applies to that booking.
11.2 These terms are governed by the laws of Victoria, Australia, and the courts of Victoria have jurisdiction. If you’re a consumer living outside Australia, this doesn’t take away any protection you have under the mandatory laws of your country.
11.3 Questions about an Event? Email events@acxpa.com.au.
